A no-show is someone who registers for an event but doesn't show up without canceling.

The average no-show percentage varies greatly and depends on the type of event: free versus paid, online versus live. For business live events, it ranges from 10 to 30%.

The costs are influenced by both fixed costs and variable costs per attendee.

An example calculation for an event with 200 attendees:

  • Variable costs per attendee € 100
  • No-show percentage 20%
  • 200 attendees x 0.20 x € 100 = € 4000 direct waste

Additionally, there are indirect costs: lost networking opportunities, sponsors seeing fewer results, reputation, potentially extra staff or logistics unnecessarily deployed.

  • Emphasize that no show is truly no go

Requesting a small financial commitment (participation fee or charging for unnecessary costs incurred in case of no-show) can also help.

Paid events have significantly lower no-show percentages.
